About Us
Rosalie Hall is a Young Parent Agency and accredited Children’s Mental Health Centre dedicated to providing specialized care and treatment for young parents, their infants, and children. Our services include high quality learning and supportive child care program, infant mental health treatment, Live-In Treatment Residence, and a wide range of outreach programs for young families in need. Each year, we deliver evidence-based treatment to more than 1,000 individuals, with an additional 3,000 supported through outreach and drop-in services. Serving Toronto communities since 1914, and operating from our Scarborough facility since 1956, Rosalie Hall carries forward the Misericordia tradition of over 150 years of service. As part of an international network, we remain committed to advancing health and social services across Canada, the United States, and Ecuador.
Position Overview
As the first point of contact for visitors, clients, and staff, the Reception position is responsible for welcoming guests, overseeing front desk activities, and facilitating effective inter-office communication to support the smooth operation of Rosalie Hall. This role is central to our mission and vision, ensuring a consistently warm, courteous, and helpful presence for all who come to Rosalie Hall.
Summary of Duties
- Monitor and ensure the security of agency entrances, maintaining a safe and welcoming environment for clients, staff, and visitors.
- Manage reception duties, including greeting visitors, answering inquiries, and directing calls, deliveries and messages appropriately.
- Respond to door signals, ensuring only legitimate entrance is permitted.
- Be aware of all present alerts, as they pertain to clients, posting them in clear view of reception staff.
- Facilitate effective inter-office communication to support smooth daily operations.
- Provide clerical assistance to the administration department, contributing to the overall efficiency of administrative processes and service delivery.
- Responsible for the opening and closing of the centre following procedures to ensure the security and safety of the building, staff, clients and guests.
- Report any dangerous or suspicious activity to a Manager, including but not limited to recognizing escalating situations and follow established protocols to obtain assistance and apply de-escalating techniques.
General
- Develop and maintain effective relationships with staff, volunteers, and community partners.
- Maintain confidentiality of all client and agency-related information in accordance with policies and professional standards.
- Adhere to all agency systems, policies, procedures, and organizational philosophy.
- Demonstrate knowledge of all programs and services offered by Rosalie Hall.
- Participate in required meetings, training sessions, and professional development activities.
- Support team meetings by preparing agendas, recording minutes, and ensuring accurate documentation.
Qualifications/ Skills
- Completion of a high school diploma or equivalent; post-secondary education in office administration or a related field preferred
- Minimum of 2 years’ experience in reception, administrative support, or customer service in a professional environment
- Bilingual proficiency in English and French (oral and written) required
- Strong interpersonal and communication skills, with the ability to engage respectfully and professionally with clients, staff, and community partners
- Demonstrated ability to work collaboratively as part of a team while also managing tasks independently
- Proven ability to manage multiple priorities, meet deadlines, and maintain accuracy and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) with comfort using databases and office technologies
- Ability to maintain confidentiality, exercise sound judgment, and handle sensitive information appropriately
- Knowledge of community services, social services, or health care environments considered an asset
- Awareness of systemic barriers and social determinants of health, with an understanding of how racism, discrimination, and oppression impact diverse communities
